Posting older orders to Xero
When you open Dashboard - Orders, the list starts at the last 60 days. That is how much is shown, not how far back you can go: older orders are still in Shopify and can be sent to Xero whenever you want them.
How to post older orders
- Open Dashboard - Orders.
- Above the order list, click the From date and choose a date far enough back to include the orders you want.
- The list reloads with that range, and the date is saved, so it will still be there next time you come back.
- Tick the orders you want and click Post to Xero.
Before you go a long way back
An old order posts with the date it was placed, not today's date. That puts the sale in the period it actually belongs to, which is usually what you want, but it does mean revenue can land in a month you or your accountant have already closed off. It is worth a word with whoever closes your books before you post a large batch.
Two things to check first:
- If you have set a lock date in Xero, nothing dated on or before it can be posted at all. Those orders will fail rather than go through, and An order couldn't post because of a Xero lock date explains what you will see.
- If you have already entered any of those older orders in Xero by hand, posting them now gives you two records of the same sale. The app has no way of recognising an invoice you typed in yourself.
Doing a lot at once
Post in batches rather than selecting everything at once, and check that the first few came out as you expected before carrying on. Anything that fails shows a Fix button on the order, which tells you what happened and what to do about it.
