Keeping the invoicing email on a company contact

If you have the app matching orders to a Xero contact by the company name on them, described in Use the company name as the Xero contact, that one contact is shared by everyone at that business. It usually carries an invoicing email you chose, an business@ address, while the people actually placing the orders each have their own.



The email you set is left alone

An order from someone else at that company will not replaces the business email address with that person's address. Whoever orders, and however often, the invoicing email you put on the contact stays as it is. This applies to contacts matched on a company name; a contact belonging to one person still takes its email from their own orders, because nobody else is sharing it.



What else does change

The email is the only thing being held back, so it is worth knowing what an order can still alter. When an order updates the contact it can change the first and last name to the person who placed that order, the phone number, the addresses, and the tax or VAT number if the order carries one. A contact named after the company can therefore end up showing the name of whoever ordered most recently.


Two things never change. The contact keeps its name, so it stays the company you matched it to and no second contact is created. And anything the order has no value for is left out of the update rather than sent as blank, so a detail already in Xero is not wiped by an order that simply doesn't have it.



If you would rather the email followed the latest order

Some stores do want the contact's email to track whoever ordered most recently. We can switch that on for your store, but it stays off unless you ask for it.
