Use the company name as the Xero contact

When someone orders on behalf of a business, they are one of several people who might buy for that company. By default the Xero invoice goes to the individual, so one trade customer ends up split across several contacts, one for each member of their staff who has ordered. Chasing payment gets messy fast.

Turning this on sends the invoice to a Xero contact in the company's name instead.

How it Works

Users who are on our Plus plan, the app will looks for a company name in two places and stops at the first one it finds. If the order was placed through Shopify B2B, it uses the name of the Company recorded on that order. Shopify B2B Companies are a Shopify Plus feature, so orders from stores on other Shopify plans will not carry one.

Otherwise it reads the Company field on the order's billing address, or the customer's default address when the order has no billing address. This is the ordinary Company line that any shopper can fill in at checkout, whatever Shopify plan you are on.

Once it has a name, the app looks for a Xero contact that matches. If one already exists the invoice goes to it, and if none exists a new contact is created in the company's name.

How to turn it on

  1. Go to Setup - Advanced.
  2. Find Use the order's company name as the Xero contact, either by typing "company" into the settings search box or using the B2B filter.
  3. Click Turn on.

What it doesn't change

  • Only orders that carry a company are affected. Orders placed by an individual with no company on them carry on as before.
  • Invoices already raised against individual buyers stay where they are. If you want them moved onto the company contact, do that in Xero.
  • Shoppers who have bought from you before and already have a Xero contact of their own keep it. This is why a first-time buyer from a business is matched to the company while a returning colleague still appears under their own name.

If an invoice has gone to a contact you did not expect, email us at help@hyvelabs.co with your shop URL, the order number, and the message shown on the order, and we will take a look.
