Send a sales channel's orders to different Xero accounts

Most stores sell through more than one channel — an online store, Shopify POS, a wholesale storefront, a marketplace such as Faire, or a subscription app. By default every order posts to Xero the same way, whichever channel it came from. We can set up a rule so that orders from one channel post differently.

How it Works

The rule is attached to the app or channel that creates the order in Shopify. Orders from that channel can then post:

  • to a different Xero revenue account
  • with a different tax rate
  • against a different Xero contact, so a marketplace’s orders sit under one name instead of one contact per shopper
  • with their own tracking category
  • with payments or gateway fees left off, if that channel settles outside Shopify

Orders from your other channels carry on exactly as before, so you can start with one channel and add more later.

Example

A homewares store sells on its own site and through Faire. Faire orders post to a Wholesale sales account, against a single Faire contact, with a Wholesale tracking option. Website orders keep posting to the usual sales account, with each shopper as their own contact.

If you also use tag rules

Order tags and customer tags can do a similar job, and stores often end up with both. When more than one rule could apply to an order, the customer tag rule is used first, then the order tag rule, then the channel rule, and finally your normal settings. Send wholesale orders to a different Xero account covers the order tag version.
